About Studentspeak

Studentspeak provides software for university marketing and student recruitment. Prospective students complete a short assessment, are matched to programmes that suit them, and reach the university as qualified applicants. The company describes the approach as psychometric matching. Its buyers are university marketing and admissions teams, which make purchasing decisions through long, multi-stage processes.

The challenge

“We work in a very specific industry, so I felt that the agency was too generalist. They couldn’t understand the customer or help us with the technical side of cold outreach.”
Volodymyr Manoilo Volodymyr ManoiloCo-founder, Studentspeak

Before working with Allreach, Studentspeak had used an external agency for an extended period and then tried an in-house hire. The agency’s generalist approach did not lead to meaningful conversations. Building the technical side of cold outreach internally, including deliverability and domain management, proved too slow and costly for a lean team in a market where buyer relationships last for years.

Strategy and execution

01

Buyer mapping

Allreach mapped marketing, admissions and international recruitment roles university by university, segmented by region and supplemented with association member directories and event attendee lists.

Niche market research →
02

Contact enrichment and verification

Every contact was enriched with role, department and country and verified before outreach. Lists were revalidated before each reuse.

CRM enrichment →
03

Sending infrastructure and deliverability

Outreach ran from 10 dedicated sending domains with separate inboxes and warm-up, keeping Studentspeak’s primary domain out of cold email. Open and click tracking were disabled.

Outbound campaigns →
04

Parallel campaign tracks

Three tracks ran in parallel: research interviews on programme choice and AI adoption, conference outreach around ACAC, EAIE and The PIE Live, and country-specific recruitment campaigns in India, Eastern Europe and Latin America. Each track was measured on positive replies.

Conference outreach →
05

Localisation and list refresh

High-performing English campaigns were adapted into Spanish and Polish. Lists that stopped responding were refreshed with alternative contacts at the same institutions.

Outbound campaigns →
06

Reply handling and meeting booking

All replies were managed in a shared inbox, categorised and followed up until a meeting was booked or the prospect declined, allowing Volodymyr to focus on the meetings themselves.

“You help us connect with customers who haven’t heard of us and help us communicate the value Studentspeak brings to customers who don’t know us yet.”

Lessons learned

University teams receive a high volume of sales outreach. The main campaigns therefore invited prospects to contribute to Studentspeak’s research on programme choice and AI adoption in admissions, and the resulting calls doubled as discovery meetings. One prospect replied: “We really aren’t utilizing AI in our processes… However, I can still make the time.”

50

Lead with a research invitation

Interview requests on programme choice and AI adoption generated 50 of the 92 opportunities.

1,179

Use association membership as a data source

Joining ACAC provided a member directory of 1,179 admissions professionals that data vendors do not offer.

3

Localise high-performing campaigns

The same research invitation in English, Spanish and Polish extended reach into Latin America and Poland.

10

Separate sending domains from the primary brand

Cold outreach ran across 10 dedicated domains, protecting the reputation of the main domain.

Results by campaign track

Poster campaign | Instantly Instantly analytics for the Studentspeak poster campaign, 27 September to 2 November: 1.0K sequences started, 2.8K emails sent, open and click tracking disabled, 43 unique replies, 10 opportunities, with sent and reply trend charts.

“So far, the number of meetings has been at a good level. I’d say I have someone new to meet with almost every week.”

Volodymyr Manoilo Volodymyr ManoiloCo-founder, Studentspeak

Best-performing campaign: ACAC

After Volodymyr joined ACAC, the association’s member directory provided a targeted list of admissions professionals and a shared reference point: the upcoming conference in Pittsburgh. The first email, sent from one member to another, asked whether the recipient planned to attend. Follow-ups shared findings from Studentspeak’s AI adoption survey, including that 78% of admissions teams report using AI tools their institution has not approved.
